OBJECTIVE:
Splash color, light, sound and fun to create the ultimate audience participation event for 2000 guests… and get them outside to enjoy the beautiful ocean front setting after a long day of meetings. This 1960’s era party involved performers that interacted with the attendees to create a night they will always remember!
CHALLENGES:
To create an event that could move inside in case of inclement weather in a short set-up time and still maintain the integrity of the event.
• Two day set-up in mid 90’s Caribbean sun.
• Dodged fast moving thunderstorms for 48 hrs prior to event.
• Create comprehensive rain back up plan to move inside quickly.
• International destination with limited themed entertainment.
• Lost gear for entertainment during international shipping.
• Wind, wind, wind.
SOLUTION:
The details were in the planning. Plan B had to be as good as A. Weather was very tricky and hitting the window of good weather was 50/50.
• Developed excellent Plan B.
• Created an event design to minimize wind loads.
• Brought in fun audience participation band and dance troupe with extensive favors for guests.
• Secured replacement gear locally for lost equipment.
• 200 decorated tables, staging, sound, lighting, entertainment and décor.
