OBJECTIVE:
The elegant beauty of “ice.” Design a “Grand Finale Event” that captured the Canadian winters natural beauty while creating a big “WOW” factor for the 1,800 attendees. Presentation stage with full A/V.

CHALLENGES:
• The room was also the location for all-the-day’s business meeting so set-up time was extremely compressed.
• The major obstacle was that there was only one load in door on a one way alley allowing only one truck at a time to load in.
• Half of the room and table décor was ice so that had to be loaded in very quickly.

  SOLUTION:
The event was transformed into a winter spectacle by organizing an army of staff and executing a detailed load in set-up schedule of vendors down to the minute.
• Erect floor to ceiling white drape in a 50,000 sq. ft. room
• 150 decorated tables, linens, custom napkin rings, half with ice sculptures, half with florals and  specialty white suede chairs
• Two 36’ Ice bars and twelve giant snow covered three dimensional mountains
• Bring in substantial labor crew to compensate for set-up time
 

• Load in décor elements into adjoining rooms the night before the event for timelier load in
• Rent a freezer trailer for Ice elements to be staged on morning of event
• Program the evening lighting design in two hours
• Ready 25 minutes prior to doors.
